1. WHO ARE WE?

The WWF Network is a global network of WWF Offices, consisting of legally independent WWF National Organizations as well as non-independent Country Offices, all working together to fulfill a joint mission to stop the degradation of the earth’s natural environment and to build a future in which humans live in harmony with nature.

WWF International is a Swiss foundation with a secretariat in Switzerland that manages and oversees country offices in other parts of the world. WWF International has its headquarters at Rue Mauverney 28, 1196 Gland, Switzerland.

The role of the Secretariat is to coordinate the WWF Network around the world.

This Privacy Notice only relates to the data which are obtained and processed by WWF International, which means its Secretariat in Switzerland and its Country Offices. 2. WHY WE COLLECT PERSONAL DATA

When we advertise a role and request applications for this position and future positions, we process only necessary personal data to ensure a fair, thorough, and efficient recruitment process. We do not provide personal data to anyone who is not involved in the recruitment process within WWF or of recruitment suppliers nor do we provide personal data to third parties for commercial purposes.

4. OUR LEGAL BASIS FOR PROCESSING YOUR PERSONAL DATA

-All of our use of personal data has a legal basis to be processed in accordance with the Data Protection laws and Regulations such as the EU General Data Protection Regulation (GDPR) and the Federal Swiss Data Protection Act.

Perform a contract: Where we have entered into an employment contract with you and processing your personal data is necessary for the performance of the contractual obligations with you
Legitimate Interest: Where it is necessary for our WWF International legitimate interests as a non-profit organization and your interests and fundamental rights, interests, and liberties do not override those interests. WWF International’s legitimate interests include administering our organization, which includes raising funds to implement our operations and strategic work, which includes advocacy, campaigns, building awareness about environmental challenges and solutions, and raising funds for conservation work. Administering our organization also includes sending you materials related to the recruitment process, and understanding our applicant's data insights. We may also rely on legitimate interest in processing personal data, before, during, and after the end of the employment relationship
Consent: Where consent is necessary to apply directly through our Recruitment WWF International landing webpage. 8. SERVICE PROVIDERS / SUPPLIERS

We do not undertake all of our processing activities ourselves and we may appoint suppliers to perform services on our behalf (e.g. payment processing). In such cases, we ensure that we have a contract with the supplier and as part of that agreement, the supplier agrees to respect the security of your personal data and to treat it in accordance with the law. We only permit suppliers to process your personal data for specified purposes and in accordance with our instructions.

9. INTERNATIONAL TRANSFERS

Your personal data may be accessed by recruiters and interviewers based in the US or other countries outside of the European Economic Area (EEA) where the position (s) for which you are applying is (are) based, as well as by recruiters and interviewers working in different countries and offices of WWF International. In doing so, your data may be stored or otherwise processed outside of the EEA.

WWF International is part of a global network. If you apply to a vacancy that is not located within the European Economic Area there are some instances in which we may share your data within our WWF Network (such as when a vacancy is located in a country outside of the EEA or relocation to a country outside of the EEA is required). These instances are limited and are mainly where one of our Network offices is better placed to contact the individual or manage the relationship, for example, when they live or work in that country.

Whenever we transfer your personal data out of the EEA, we ensure it is afforded a similar degree of protection by ensuring at least one of the following mechanisms are in place:

the country has been deemed to provide an adequate level of protection for personal data by the European Commission;
a specific contract which is approved by the European Commission and gives personal data the same protection it has in EEA has been entered into with the recruitment agency (ies), which may include if needed enabling international data transfers to non-adequate countries outside the EEA, the EU Standard Contractual Clauses at the Data Processing Addendum to enable an adequate mechanism for the international data transfers.

10. WHERE REQUIRED

Your Data shall not be disclosed to other Third-Parties than the ones aforementioned, unless, under special circumstances, such as required by law, judicial order, policy, or regulatory bodies we are required to disclose specific personal data to comply with the applicable laws. One should note, in the event this occurs, your data subject rights remain intact and you are going to be communicated in writing about the scope of the request, the specific personal data category requested, and the duration of this processing activity.

We aim to ensure we have appropriate cybersecurity and safeguard measures in place to protect your personal data and prevent unlawful access, data loss, and data breaches. This includes and is not limited to using techniques for encryption, multi-authenticator factors and routinely monitoring the network to identify cybersecurity risks.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way, altered, or disclosed. Whilst we hope it will never happen, we have procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are required to do so.

We also have procedures and protocols in place in the event of a data security breach. We shall notify you and any competent Supervisory Authority, if necessary, and where we are legally required to do so.

11. RETENTION OF YOUR DATA

We will only keep your personal information for as long as is necessary for the purpose for which it is collected. Each category of personal data collected has a specific retention period considering the nature of the personal data, the amount, and the specific purpose for collecting and processing these personal data. In general, for the resumes and related documents, the applicable retention period is 1 (one) year after the hiring process is concluded. We shall enter in contact with you in writing to ask your consent in whether you would like to have your personal data included in our pool of talents for future notifications of new vacancies at WWF International. You can provide and withdraw your consent at any given time.

You can request, at any given time, the details of the personal data we hold about you. If you want to access your data, please contact us at privacy@wwfint.org. Please send a short description of the information you would like to have access to and proof of your identity for us to confirm your identity. We may then need to ask you for further information in order to service your request, such as confirmation of your identity, or whether there is any specific data you would like or from a specific time period. We may send you a form to assist you in this. We shall respond to your request within one month after receiving your request.

12. WHAT ARE YOUR RIGHTS

Right to Access - The right to request to be informed and provided what personal data we have about you. This enables you to receive a copy in electronic format of the personal data we hold about you.

Right to Rectification - The right to require us to correct, update, or modify the personal data we hold about you. This enables us to have your personal data up to date, and accurate. This enables you to have incomplete or inaccurate data we hold about you corrected.

Right to be Forgotten/ to Erasure - The right to ask us to delete personal data when there is no legitimate reason for processing and in certain circumstances. If we are unable to comply with your request because we are legally required or entitled to retain it, we will notify you.

Right to Restrict Data Processing - The right to require us to restrict personal data processing when applicable.

Right to Request Data Portability - The right to request transfer of your personal data from one service provider to another in electronic format and machine-readable.

Right to Object to Processing - The right to object to the processing of your personal data if you feel it impacts your fundamental rights and freedoms. Note that in some cases, there will be compelling reasons for which we are legally required or entitled to continue processing your personal data and are able to demonstrate them to you.
