As part of its recruitment process, HH Global will be acting as a data controller and will be responsible for deciding how it holds and use personal information about you and how it collects, transmits, stores, accesses, and deletes personal data relating to job applicants. This privacy notice is to make you aware of how and why your personal data will be used for the purpose of the recruitment exercise and how long it will be retained for. HH Global is committed to being transparent about how it collects, transmits, stores, accesses and deletes this data, in order to meet its data protection obligations.

HH Global applies the UK GDPR as a global standard as well as applying local data protection law in the countries where it operates. In countries where the Data Protection Laws conflicts with local law, local law that meets internationally accepted privacy principles will take precedence. 

What information does HH Global collect?

HH Global collects, transmits, stores, accesses and deletes a range of information about you. This may include:

your contact details including name, address and personal email address and telephone number;
details of any qualifications, skills, experience and employment history, your CV and covering letter (where applicable);
details of your professional qualifications; training you have completed and work related experience;
information about your current level of remuneration, including benefit entitlements;
information about any disability for which HH Global would need to make reasonable adjustments during the course of the recruitment process or your employment; and
information about your right to work in the jurisdiction in which you have applied for a position.

As part of the recruitment process, HH Global may collect and process special categories of data, such as information about ethnic origin, sexual orientation, sex or religion or belief, to monitor recruitment statistics, ensure meaningful equal opportunity monitoring and to, observe the laws of each geography in which it operates. It may also collect information about whether or not applicants are disabled in order to assess which reasonable adjustments would be needed for candidates who have a disability. The Company processes such information to fulfil its legal obligations and as best practice.

HH Global collects this information in a variety of ways, through your agreement, specifically during the ‘application stage’ based on its legitimate interests to enable HH Global to lead a successful and effective recruitment process.

How is the personal data collected?

We collect personal information about candidates from the following sources:

You, the candidate.
A recruitment agency, if you or we used one.
Social media platform; LinkedIn
Third parties who obtain pre-employment references from other employers or carry out employment background checks and obtain necessary criminal records checks from the Disclosure and Barring Service.
Your named referees.

Why does the HH Global process your personal data?

HH Global requires to process personal data to ascertain your suitability for employment with it. 

HH Global requires to process data in order to comply with its legal obligations, such as to check a potential employee’s right to work in the jurisdiction in which they are applying to work.      

HH Global has a legitimate interest in processing your personal data during the recruitment process and for keeping records of the process. Processing data from candidates allows HH Global to manage the recruitment process, assess your skills, experience and suitability for advertised roles and to decide which candidate should be successful in receiving an offer of employment. HH Global may use your data to carry-out background and reference checks where applicable and to communicate the outcome of the recruitment process to you.

HH Global may also need to process data from job applicants to respond to and defend against potential legal claims as well as to comply with any statutory requirements.

Who has access to your personal data?

Your information will be shared internally with members of the HR Department.  Specific information will be shared with hiring managers and IT staff if access to the data is necessary for performance of their roles.

HH Global will not share your data with third parties (other than third parties required to process pre-employment reference checks, in appropriate geographies) unless your application for employment is successful and it makes you an offer of employment. HH Global will then share your data with third parties in order to obtain pre-employment references from other employers, obtain employment background checks from third-party providers and obtain necessary criminal records checks from the Disclosure and Barring Service.

How does HH Global protect your data?

HH Global takes the security of your data seriously. HH Global has internal policies and appropriate security measures in place to ensure that your data is not lost, accidentally destroyed, misused, or disclosed, and is not accessed except by authorised employees in the performance of their duties.

Where HH Global engages third parties to process personal data on its behalf, they do so on the basis of written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data.

For how long does HH Global keep your data?

If your application is unsuccessful, HH Global will keep your personal data for a maximum period of 18 months in case there are future suitable employment opportunities that you may be considered for. You may withdraw your consent to such processing at any time by emailing talentacquisition@hhglobal.com. At the end of the 18 month period or once you withdraw your consent, your data will be deleted or destroyed. In some countries this period may be shorter dependant on local law. If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. The periods for which your data will be held will be provided to you in a privacy notice for employees.

Your rights

As a data subject, you have the following rights: 

access and obtain a copy of your data on request;
require HH Global to correct incorrect or incomplete data;

require HH Global to delete or stop processing your data where the data is no longer necessary for the purposes of processing; and
object to the processing of your data where HH Global is relying on its legitimate interests as the legal ground for processing. If you would like to exercise any of these rights, please email data.protection@hhglobal.com.

If you believe that the organisation has not complied with your data protection rights, you may make a complaint to the Information Commissioner https://ico.org.uk/concerns/

What if you do not provide personal data?

You are under no statutory or contractual obligation to provide data to HH Global during the recruitment process. However, if you do not provide the information, HH Global may not be able to process your application properly or at all.

Automated decision-making

Some of the Company's recruitment processes are based solely on automated decision-making. This will include decision-making based on your responses to questions about minimum requirements for the job in which you are applying.

In such circumstances, if you do not meet pre-defined criteria relating to your suitability for the position, your application will not be progressed, and you will be informed accordingly.
